Excel accounting systems

The file that replaces the fragile one.

Excel accounting consulting for firms nationwide: rebuilds, cash-to-accrual overlays, revenue recognition, imports, and schedules — built so the next person can run the month without a walkthrough.

What you get Who it is for How it runs FAQ

What an Excel accounting system is

Most “Excel consulting” is a clever formula. This practice is an operating system that happens to live in a workbook, because that is where the work already is.

We rebuild what the close, the import, or the schedule actually needs — then leave notes, checks, and a handoff so the file is not a single point of failure.

Typical Excel accounting projects

  • Cash-to-accrual overlays: keep cash-basis QuickBooks, calculate GAAP journal entries from a contract or prepaid master, upload the close
  • Revenue recognition across mixed methods — over time, percent-complete, on delivery, T&M as invoiced — in one journal-data table
  • Close and reconciliation workbooks with an audit trail
  • Import and mapping from source extracts into a file someone else can rerun
  • Depreciation, prepaid, and other schedules that have to survive next year’s close
  • Integrated projections and the financing package that sits on top of them

How we judge a file

Can someone else run it? Do totals tie to a source? Are new assets, departed people, and mid-period changes handled on purpose? If the answer is no, the workbook is not done.

Who this is for

Teams living in Excel, past the point where memory is a control.

The monthly import is a ritual

Paste, pray, and reconcile by eye. The mapping should be a step, not a talent.

Cash books, accrual contracts

QuickBooks is cash. The deals are not. You need an overlay, not a new GL.

Only one person will touch the file

If that person is out, the close stops. The project is the handoff as much as the math.

How a project runs

Diagnose the file. Then replace it.

01

Scope the break

Import, tie-out, recognition, or a schedule that will not survive next year.

02

Read the current file

What is true, what is folklore, what only one person can explain.

03

Rebuild the artifact

A workbook, a journal-data table, an upload, a recon. Checks in the file, not in a meeting.

04

Hand it off

Notes and a short SOP so the next close does not need us in the room.

Excel accounting FAQ

Questions we hear first.

What is an Excel accounting system?

An operating workbook — close, import, reconciliation, revenue recognition, or schedule — that someone else can run next month. Not a clever formula. The file that replaces the fragile one.

Can you rebuild a workbook we already use?

Yes. Most projects start there. We keep the logic that is true and kill the parts that only one person understands.

Do you work with QuickBooks?

Yes. Imports from QuickBooks or other extracts, and journal-entry files a cash-basis close can upload. No ERP conversion required.

What is a cash-to-accrual overlay?

Keep cash books. Calculate GAAP journal entries from a contract or prepaid master and upload them at close. The design is written up here.

Will someone else be able to run the file?

That is the test. If a mid-period change is handled by memory, the workbook is not done.

Do you write Excel VBA and macros?

When the close needs it — looping contracts, building journal-data tables, writing upload files. In service of a file someone else can operate.

Do you work with clients nationwide?

Yes. Excel projects run remotely.

How does a project start?

Describe the file and what breaks through the contact form. Do not send client identifiers on the first pass.
